Student Detail Record

 

The student header displays key information about the student in the record that is currently open, and shows at the top of each student detail tab. The header itself cannot be edited, but the fields that display in the header may be edited elsewhere in the student detail record, or populate automatically.  The student header will update to display any changes.

 

Fields that display in the student header and where the editable fields may be edited:

 

Student ID

System number automatically generated when the student record is created.

 

Overall Status

Student Data tab/ Key Info panel; prospective after intake.

 

Program

Student Education tab/ Education panel; entered at intake or edited at the Student Key Info panel or the Education panel.

 

Intake Date

Student Data tab/ Key Info panel and Student Education tab/ Education panel; entered at intake or edited at the Student Key Info panel.

 

Date Left

Automatically populates from last instruction hours date.

 

Student Keyword

Student Data tab/ Key Info panel; entered at intake or edited at the Student Key Info panel.

 

Current Level

Student Assessment tab based on level defining assessment; may be entered at time of intake but will be overwritten when a level defining assessment is entered.

 

Entry Level

Student Assessment tab; based on level defining assessment.

 

Subject Area

Student Assessment tab; based on level defining assessment.

 

 

The student detail toolbar allows you to:

 

      Add a new student

      Delete the student record currently open

      Print the currently displayed tab and/or panels

      Drop a student from their current enrollments

 

The Record Indicator at the top right of the student header shows which record you have open out of a selection of records, and allows you to move forward or back either by record, or to the beginning or end of the students in the list.  When you use the arrows to move forward or back, the record will be at the same panel and/or tab you were previously in.

 

 A variety of information may be entered in the student detail record at the individual tabs and panels. Not all of the data you can track will be useful to every agency.  The best approach is to look at any required reports, since many reports require specific data that is contained within a small number of fields.  You should also decide what additional data you want or need to track for daily program management.

 

 

Deleting a Student Record

 

Unless a student was entered into LACES NexGen twice accidently, there should never be a need to delete a student record.  Students who left your program in the past may return.  When they do, an existing record allows you to immediately enroll the student, or enter assessments without having to reenter the basic student record.  Also, many independent and state agencies conduct longitudinal studies that rely on data entered over a period of time, and state ABE programs may periodically run reports for previous program years.

 

ALWAYS use caution when deleting complete records, and make sure you have a good reason for doing so.  Deleted records are permanently gone!

 

Before a student record can be deleted, you must first delete:

      Student materials records from the Material tab.

      All student pair hours.

      All student pair enrollments.

 

After material and pair related records have been deleted, the student record may be deleted by clicking the Delete Student Record toolbar icon.  Deleting the student will automatically delete the all other class, group, and workshop enrollment and hours records.

 

Student records may not be deleted if the student has a fiscal year record from a prior fiscal year.  This is because NRS reports run from fiscal year summaries, and deleting a student who was reportable in a previous fiscal year would cause the NRS reports from that fiscal year to be inaccurate.  

 

IMPORTANT NOTE:  Deleted records cannot be restored.  Students who do not have prior fiscal year summaries may be deleted, but may also have enrollments and hours in the current fiscal year that are included on reports that are important to your agency. 

 

 The Delete Log at the Agency area will display the user account associated with a deleted person record.
