Hours Tab

 

The Hours tab is for entering hours that the tutor provided in a group or pair assignment, typically instructional hours.  The Hours tab is comprised of two sections; the hours header and the hours grid.

 

Hours Header

 

There is one available view on the View dropdown in the hours header:

      Tutor Hours

 

The tutor hours view contains the following fields:

 

Assignment Type

Displays the type of assignment setting;  Group or Pair

Term

The term entered in the group record.

*Date

The date of the hours record.

Title/Student

The title of the group for which the hours were added, or the name of the student matched in the pair for which hours were added.

Hours Type

The type of hours added.

Hours Present

Number of hours present for the date entered.  This may also represent a time period, if hours are entered weekly, monthly, or quarterly.

Hours Absent

Number of hours absent for the date or time period being recorded. This may also represent a time period, if hours are entered weekly, monthly, or quarterly.

Late

Indicates whether a tutor was late to the group or pair meeting.

Creation Date

System-generated date indicating the date the hours record was entered in the database, non-editable.

Edit

Click to open the hours record for editing.

Delete

Click to delete the hours record, after verification.

 

 

Rules regarding instructor hours for tutor assigned to a group

1.     Instructor non-instruction hours must be on or after the instructor’s assign date in the group, and on or before the instructor’s end date in the group.

2.     Instructor instruction hours must be on or after the instructor’s start date in the group, and before the instructor’s end date in the group.

 

 

Add Hours

 

To add hours to the tutor record:

1.  Click the Add button.

2.  The Add Hours data chooser will display, with today’s date highlighted.

3.  To select dates other than today’s date, click Clear Dates.

4.  You may make multiple date selections by clicking the dates on the calendar for which you would like to add hours. 

5.  When the start and end date of a group assignment is within the selected dates, the group will display will display.  Pairs will display unless the pair has been dissolved and the selected dates are not within the pair match and end dates.

6.  Check the assignment you wish to add hours for.

7.  Select the hours type and enter the number of hours.

8.  A row will display for each date selected for the assignment type.

9.  The Hours Type, Hours Present, Hours Absent, and Late may be edited on each individual row.  (If you don’t want to add a particular hours record, uncheck the record on the data chooser grid.)

10. To add additional hours types, click Add Hours Type and select from the dropdown list. 

11. Click Save, or Save and New.

 

Unlinked Hours

 

Unlinked Hours are not associated with an instructional setting, and should be entered only when there is a valid reason to do so in the tutor record.  Tutors with no assignments and unlinked instruction hours will not be included in the Current Fiscal Year filter when overall status is Never Started or Left.

 

Hours Grid

 

The hours grid displays hours data. The default selection is all hours records, which display in chronological order beginning with most current. The hours grid contains Rows and Columns, which work the same as all grids in LACES NexGen.  Column headings on the enrollments grid can be dragged to the top row heading to group by column.

 

Editing and Deleting Hours Records

 

Click the Edit button to open an hours record for viewing or editing. This will open the hours record and allow you to make and save changes.  Date, Hours Present, Hours Absent, and Late may be edited.  When you are editing hours data, you cannot navigate to a different tab or panel in the tutor detail record until the edits to the hours data are either saved or canceled.

 

The Delete button allows you to delete hours records.
